STATEMENT OF PURPOSE
Provide administrative assistance and support to the Rehabilitation Department including Department Management.

GENERAL REQUIREMENTS
Requires a high level of professionalism, confidentiality, communication, teamwork, creativity, problem solving, dexterity, planning and organizational skills. Requires excellent customer service to consumers, family members, other agency staff and the general public.

KEY JOB ELEMENTS
Provides customer service support to the entire Rehabilitation Department, including responding to referrals, answering telephones, scheduling, filing, copying, collating and disbursement of incoming mail, outreach, contract documentation, new program development and any other areas as assigned.

Manages Rehabilitation and Children’s Department case file system to ensure consistency, accuracy and required insurance and contractual documentation. Develops new filing systems, processes and documentation methodologies as needed.

Responsible for processing all required sponsor documentation including eye reports, submittal of sponsor applications, vouchers and other documentation as assigned. Maintains data as it relates to contractual obligations and ensures accuracy of contract outcomes reporting.

Partners with Outreach Coordinator in the preparation of and disbursement of material, which promotes agency services.  Conducts outreach programs as needed.  Staff programs and new initiatives as needed.

Ensures physical attractiveness and functional efficiency of Low Vision Center and Rehab Department common areas. Implements new organizational methods and procedures as needed.

Ensures outstanding customer relations with affiliated agencies, MD’s, related agencies, community organizations, other CABVI departments and consumers.  Provides written correspondence on services received.

Organizes duties and assigns responsibilities to department volunteers.

Complete low vision pre-evaluations, dispenses adaptive equipment and low vision aids and equipment to staff and consumers as indicated by program guidelines.

Remains current in computer systems:  Microsoft Word, Excel, Access, etc. Works with PR department and produces PR Materials that may be appropriate.

Maintains the low vision inventory system through Macola, ensures reporting accuracy in all aspects of the department budgetary areas as it relates to expenditures, organizes clearance sales and stock reduction processes.

Works with the department managers to facilitate change and new approaches to service delivery as necessary for continued department growth.

Assists other departments in clerical areas as needed.

COMMUNICATION SKILLS
Must have excellent listening skills and the ability to effectively respond to a variety of customer service demands.  Must have ability to effectively communicate and obtain information from staff. Must have excellent listening skills and a positive attitude.

PHYSICAL DEMANDS
50% of job requires sitting and performing clerical duties.  Routinely required to stand, walk, talk, and hear.  Frequently required to reach with hand and arms.  Occasionally required to stoop or kneel.  May occasionally lift or move up to 50 pounds.  Reasonable accommodations may be made to enable individuals with disabilities to perform the key job elements.

WORK ENVIRONMENT
Occasionally may be required to travel to off-site low vision clinics.

EDUCATION and/or EXPERIENCE
Associates degree or equivalent with at least two years of related experience.  Computer competency required.
