Business Office Clerk

CABVI is seeking a Business Office Clerk to assist in all areas between the Base Supply Center Department and the Business Office including, but not limited to: invoices, customer service, and pricing updates. This position will also assist the accounts payable department with multiple tasks including filing, mail, coding and entering invoices for payment.

KEY JOB ELEMENTS

Run the Base Supply Centers’ receiver information reports daily.

Print the Base Supply Centers’ invoices received by email daily and open all invoices received by mail.

Check each invoice against the proper forms to verify correct receipt of products, quantities and costs, and make corrections as necessary.

Review all Base Supply Centers invoices to ensure they are accurate and code them with the appropriate general ledger account to enter into the AP module in Macola.

Receive and review other accounting documents (credit memos and returns) for the Base Supply Centers.  Enter into the A/P module in Macola.

File A/P checks & backup.

Code, enter and pay FedEx invoices by American Express.

Code and enter freight charges, statements from Essendant and bank loans for payment.

Assist with entering invoices with purchase orders on them.

Adapt to change and complete all other duties as assigned by supervisor.

COMMUNICATION SKILLS

Must have excellent listening skills and the ability to effectively respond to inquiries.  Must be able to accurately take messages and complete all required documentation.  Must be able to clearly and calmly articulate during stressful situations.

COMPUTER/TECHNICAL SKILLS

Must be able to perform computer tasks and typing duties as assigned.  Should be knowledgeable in Microsoft Word and Excel.  Ability to learn CounterPoint, RedCheetah and Macola software. Must be willing to learn new technology.

PHYSICAL DEMANDS

90% of job requires sitting.  Routinely required to talk and hear.  Occasionally required to stand and walk.  Frequently required to reach with hands and arms.  Reasonable accommodations may be made to enable individuals with disabilities to perform key job elements.

WORK ENVIRONMENT

In-house position / no travel required.

 EDUCATION and/or EXPERIENCE

Associates degree in Accounting or related field preferred. Accounting or accounts payable experience required.
